What is the standard IT Asset provision?

Do I get a device for home and the office?

No. One laptop is provided per staff member. The same laptop and headset are to be used both at the office and at home.

Can I get a second monitor for on campus use?

One monitor is provided as standard, however if a second monitor is already in place at the workstation this will be eligible for replacement at end of life. If a second monitor is currently not in use and is required then this would be chargeable.

Can I get IT assets for home use?

Extra home working equipment is not provided as standard.

If there is a need for additional IT assets for home use, their approval will be determined by the local faculty or directorates based on their individual arrangements. Typically, this approval process follows a DSE assessment.

Can I keep my device at the office when coming in a few days in a row?

Laptops are more susceptible to theft than PCs because of their greater mobility. To minimise the risk, staff are expected to take their laptops home with them at the end of each day. If you do leave your laptop onsite, it would need to be locked away securely each night or anytime you are away from desk for prolonged periods. There are LapSafes provided where staff can borrow laptops for a day, but these are restricted to staff who are not issued laptops.

I require a higher specification device/ MacBook?

Most devices provided will adhere to the standard device specification. However, if a request is made for an enhanced specification device, such as a '2 in 1' or MAC device, justification must be provided explaining the need. Requests without proper justification will not be approved.

Can I still request a webcam?

Webcams are not provided centrally and will need to be purchased and recharged to your Faculty or Directorate if required. So if requesting a webcam, you will require local finance approval.

Can I request a wireless keyboard/mouse?

No, we only provide wired keyboards and mice, this is because wired keyboards ad mice are a more sustainable and easier to support option.  If a wireless device is required for any reason this would need to be recharged to your faculty/directorate.

Can I request specialist items for DSE reasons?

Yes, but you will need to get approval from your faculty/directorate after completion of the DSE assessment, as these requests may require a recharge.

Can family members use my work laptop?

No. It is the university’s policy that all university IT equipment is for use solely by staff or students and should not be used by staff family members or friends. This is for data security and compliance reasons.

What happens if I break or lose my laptop?

A new laptop will be issued, but any equipment that is deemed to be broken or lost through misuse or a lack of care and attention will be recharged back to the faculty/department.

Are hourly paid lecturers or contractors supplied a laptop?

There will be a provision of standard laptop devices available for both short and long-term loans. The default loan period will be for one day unless otherwise agreed with the IT Asset Management team. These laptops will be available to loan via the staff LapSafe loan lockers located at following locations:

  • Avery Hill – Avery Library
  • Greenwich – Dreadnought 2nd Floor (outside D218)
  • Medway – Nelson N108

Laptops from LapSafes should not be used by staff as an alternative to carrying their issued laptop to work and are only intended for use by staff who are not issued laptops as per the table below. Or by staff who have been advised to loan a laptop by the IT Service Desk if there are issues with their usual device.

The application I want isn’t available. What can I do?

Over time the variety of software in use at the university has expanded. We have a requirement to keep our systems secure by ensuring that all software is up to date within 14 days. This is hampered by the huge variety of software that has historically been available to staff.

It has been agreed that the software available for Intune laptops will be a subset of the software that has been available historically. This is because some software is either duplicate or no longer in use (e.g. WinSCP and FileZilla are FTP software and perform an identical function. Only WinSCP has been made available). This allows us to minimise the workload involving in keeping software updated, but not lose any functionality.

The Chrome browser is not available on Intune laptops as it is being phased out across the university.

If software you need is not available, please follow the AMP process to request approval for set up and installation.

I don't want to replace my device - can I keep my current one?

The IT asset management project is university-wide. Using managed staff devices enable us to improve data and system security and reduce risk, especially data protection. All managed staff devices have the latest, most secure updates promptly applied to them. If you receive an email from the IT Service Desk or IT Asset Management group, please respond promptly so that we can issue your new laptop.
